RFPs & Contracts Specialist

Role Summary

The RFPs & Contracts Specialist manages the end‑to‑end contract lifecycle and leads responses to Requests for Proposals (RFPs) and Requests for Information (RFIs) within an assigned territory. This role partners closely with commercial, legal, and cross‑functional teams to translate business requirements into clear, compliant agreements and competitive proposals that support commercial strategy and market positioning.

Key Responsibilities

Contracts & Commercial Agreements

  • Draft, review, and activate commercial sales and service agreements in collaboration with the commercial team.
  • Coordinate with Legal to develop and approve contract language.
  • Ensure compliance with company policies, including required approvals and signatures.
  • Prepare contract amendments (e.g., renewals, extensions, pricing or scope changes).
  • Maintain and update contract templates, customer memberships, and national or regional agreements.
  • Track expiring contracts, generate renewal agreements, and report on contract status.
  • Analyze historical terms and propose pricing or contract updates to the commercial team.
  • Produce monthly contract performance reports and present insights to senior leadership.
  • Support additional contract operations needs (e.g., service reporting, EDI troubleshooting).

RFP & RFI Management

  • Analyze RFP and RFI opportunities and manage the full response process.
  • Gather and coordinate content from internal libraries and cross‑functional teams.
  • Develop clear, accurate, and well‑structured proposal responses and documents.
  • Support preparation for oral presentations and customer meetings, as required.
  • Maintain and improve RFP content libraries in collaboration with marketing.
  • Identify opportunities to improve RFP processes, efficiency, and response quality.
  • Track RFP metrics, reporting, rebates, and related financial requirements.

Qualifications

Required

  • Bachelor’s degree.
  • 2–3 years of experience with contracts, legal documentation, and/or RFPs.
  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint.
  • Strong bilingual proficiency in French and English (written and spoken).

Preferred

  • Experience with SAP, Vistex, and Adobe PDF tools.
  • Healthcare, medical device, or Canadian healthcare industry experience.
