Your Mission

Administrative Support
-
Handle daily administrative tasks, including scheduling, correspondence, and preparing reports or presentations for the Country Manager.

Manage office supplies and procurement to ensure the smooth functioning of operations.
-
Oversee document filing systems and maintain the confidentiality of sensitive information.
-
Coordinate travel arrangements, itineraries, and logistics for the Country Manager and team as needed.
-
Assist in managing vendor relationships and contracts for office operations.
-
Facilities Management:
-
Ensure that the office and facility are well-maintained, clean, and compliant with health and safety standards.
-
Supervise and coordinate facility maintenance, repairs, and upgrades.
-
Manage relationships with facility service providers and contractors (e.g., cleaning, security, utilities).
-
Monitor and manage office and facility-related expenses, ensuring cost-efficiency.
-
Human Resources Assistance:
-
Support HR in employee branding, including preparation of workspace, equipment, videos and documentation.
-
Assist in maintaining employee records and updating documentation .
-
Coordinate company events, meetings, and employee engagement activities.
-
Act as a point of contact for employee queries related to admin matters.
-
Document Information Control and Compliance (DICC):
-
Maintain and update the organization's document control systems in line with ISO standards.
-
Ensure proper version control, accessibility, and security of documents.
-
Coordinate periodic audits of controlled documents and records, ensuring compliance with regulatory and ISO requirements.
-
Train and support team members in following proper document control and compliance procedures.
-
Assist in preparing and maintaining documentation required for ISO certifications, including Quality Management Systems (QMS).
-
General Office Coordination:
-
Maintain a structured workflow for the Country Manager and ensure deadlines are met.
-
Act as a liaison between departments to ensure effective communication and task follow-ups.
-
Lead or assist with special projects as directed by the Country Manager.
Your Talents
-
Bachelor’s degree in Business Administration, Management, or a related field.
-
2+ years of experience in administrative or office management roles.
-
Strong organizational and multitasking abilities with attention to detail.
-
Excellent written and verbal communication skills.
-
Proficiency in office software (e.g., MS Office Suite, Google Workspace).
-
Problem-solving mindset and ability to work independently or as part of a team.
-
Professional demeanor with a proactive and adaptable attitude.
